Privacy Policy

Rainier IT Solutions, LLC takes your privacy seriously. This policy explains what data we collect, why, and how we protect it.

1. Who we are

Rainier IT Solutions, LLC ("Rainier IT," "we," "us") is a managed IT services provider based in Orting, Washington. We provide IT support, cybersecurity, backup, cloud infrastructure, web design, and AI solutions to small businesses in Pierce & King County and surrounding areas.

2. Information we collect

Information you provide directly

  • Contact form submissions (name, email, phone, company, message)
  • Chat widget conversations and any contact information shared in chat
  • Client portal account information (name, email, company)
  • Service requests and support ticket content

Information collected automatically

  • Server logs (IP address, browser type, pages visited, referrer)
  • Google reCAPTCHA v3 scores (used to detect bot traffic — see Google's privacy policy)
  • Local storage for theme preference (dark/light mode) — never transmitted to our servers

Information we collect as your IT provider

If you are a managed IT client, we collect telemetry from your endpoints (hardware info, software versions, patch status, performance metrics) via our Remote Monitoring & Support agent and Prometheus. This data is used exclusively to provide and improve our services to you and is not sold or shared with third parties.

If you use our security services, the agents you install also report device data to the vendors that run them: Huntress (managed EDR) and Action1 (patch management), alongside our own Remote Monitoring & Support agent. That data includes the device name, operating system, installed software, patch status and security events. It is used only to deliver the service you bought.

Payments

When you buy security services on our website, Stripe processes your card payment. Your card number goes straight to Stripe and never reaches our servers. Stripe Tax uses your billing address to calculate sales tax. We keep a record of each order: company name, contact details, the products and quantities you chose, the amounts charged, and the Stripe IDs for the payment and subscription.

3. How we use your information

  • To respond to inquiries and provide the services you request
  • To send service updates, invoices, and support correspondence
  • To monitor and improve our website and service performance
  • To detect and prevent fraudulent or abusive interactions (reCAPTCHA)
  • To comply with legal obligations

We do not sell your personal information. We do not use your data for advertising. We do not share your data with third parties except as needed to deliver our services (e.g., email delivery, payment processing).

4. Data retention

Contact form and chat data is retained for 12 months unless you request earlier deletion. Client service data is deleted within 30 days after our engagement ends (within 7 days if you ask), unless applicable law requires us to keep it longer. Server access logs are retained for 90 days.

Order and billing records (invoices only, no monitoring data) are kept for 7 years for tax purposes. When you cancel a security service, we remove the agents from your devices, and the device data held by Huntress and Action1 is deleted on those vendors' own schedules.

5. Third-party services

  • Google reCAPTCHA v3 — used on contact forms and chat to detect bots. Subject to Google's Privacy Policy.
  • Google Fonts — font files loaded from Google's CDN. Subject to Google's Privacy Policy.
  • Invoice Ninja — billing and invoice management for clients.
  • Zammad — help desk and ticketing system for support requests.
  • Stripe — card payments and sales tax for online orders. Subject to Stripe's Privacy Policy.
  • Huntress — managed EDR. Receives device and security-event data from its agent.
  • Action1 — patch management. Receives device, software and patch data from its agent.
  • Bitwarden (password manager): vault contents are end-to-end encrypted and can't be read by Rainier IT; we see member names, emails, two-step and recovery status, and activity events to manage your account.
  • Client Portal accounts — when you become a client we set up your sign-in (Authentik), your shared files (Nextcloud), your support tickets (Zammad) and your billing records (Invoice Ninja).
  • Internal staff notifications — our team is notified of each new order with the company name and order amount only.

Authentik, Nextcloud, Zammad and Invoice Ninja run on self-hosted infrastructure we control. Stripe, Huntress, Action1 and Bitwarden are outside services with their own privacy policies.

6. Security

We apply the same security practices to your data that we recommend to our clients: encryption in transit (TLS 1.2+), encryption at rest, MFA on all administrative systems, and least-privilege access controls. Our infrastructure is monitored 24/7.

7. Your rights

You may request access to, correction of, or deletion of personal data we hold about you at any time by emailing [email protected]. We will respond within 30 days.

8. Children's privacy

Our services are not directed to individuals under 18. We do not knowingly collect personal information from children.

9. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Continued use of our website or services after a change constitutes acceptance of the updated policy.
